AI Ethics Policy

Spider Design uses artificial intelligence tools to support selected internal workflows. This policy explains how we use AI responsibly and how we protect client and user interests.

1. Our commitment

We are committed to using AI in a way that is lawful, ethical, transparent, and aligned with professional standards.

AI tools are used to support human work, not replace human accountability.

2. Where AI may be used

AI may be used for tasks such as:

  • Drafting and refining non-final content.
  • Assisting with ideation, outlines, and early-stage research.
  • Supporting coding productivity and documentation drafts.
  • Internal quality support for formatting and consistency checks.

3. Human oversight and accountability

All material outputs delivered to clients are reviewed by a human team member before use or publication.

We do not rely on AI-generated output as final without human judgment, verification, and editing.

Responsibility for final decisions remains with Spider Design personnel.

4. Accuracy and verification

AI tools can produce errors, outdated information, or misleading content. We treat AI output as a draft input that must be validated.

Where factual accuracy is important, we apply independent checks before publication or delivery.

5. Fairness and bias

AI systems can reflect or amplify bias present in data or model behaviour.

We seek to reduce this risk by:

  • Applying human review to identify problematic assumptions or language.
  • Avoiding discriminatory or exclusionary use cases.
  • Revising outputs that may create unfair outcomes.

6. Privacy and confidentiality

We do not intentionally input confidential or personally identifiable client data into third-party AI tools unless there is a clear legal basis and permission where required.

When AI-assisted workflows are used, we aim to minimise data exposure and use the least sensitive data necessary.

7. Intellectual property and originality

AI assistance is used to support original work, not to copy third-party protected content.

We review deliverables for originality, appropriateness, and alignment with client requirements.

8. Transparency

We aim to be open about our use of AI where it materially affects process or deliverables.

Clients can request information about whether AI-assisted methods were used in a project workflow.

9. Security and tool selection

We choose AI tools based on practicality, reliability, and available security/privacy controls.

Tool use is periodically reviewed, and we may change providers or usage patterns where risk or quality concerns arise.

10. Continuous improvement

AI technologies evolve quickly. We review this policy and our practices regularly to reflect legal, technical, and ethical developments.
